1. Information We Collect
When you use Property Portal 24, we collect the following types of information:
- Account information: Name, email address, brokerage name, and license information provided at signup.
- Property data: Addresses, deal details, and notes you enter into the platform.
- Uploaded documents: HOA packets, financial disclosures, inspection reports, and other real estate documents you upload for analysis.
- Usage data: Pages visited, features used, and time spent on the platform to help us improve the product.
- Payment information: Processed securely via Stripe. We do not store card numbers.
2. How We Use Your Information
We use the information we collect to:
- Provide and improve the Property Portal 24 platform and its AI analysis features.
- Send account-related communications (receipts, password resets, product updates).
- Generate risk analysis, document summaries, and personalized communications on your behalf.
- Maintain platform security, prevent fraud, and comply with legal obligations.
We do not use your documents or deal data to train AI models. Ever.
3. Document Storage and AI Analysis
Documents you upload are stored in encrypted cloud storage (AWS S3) and are processed by our AI pipeline. Documents are associated with your account and are never shared with other users or third parties. Documents are retained for the duration of your subscription and deleted within 90 days of account termination.
Our AI analysis is grounded exclusively in the content of your uploaded documents. We do not supplement analysis with external or third-party data sources.
4. Sharing Your Information
We do not sell your personal information. We share data only in the following limited circumstances:
- Service providers: We use trusted third parties (AWS, Stripe, Firebase) to operate the platform. These providers are contractually bound to protect your data.
- Client portals: When you invite a buyer to their property portal, they receive access only to the documents and summaries you choose to share with them.
- Legal requirements: We may disclose information if required by law, subpoena, or government request.
5. Data Security
All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). We are SOC 2 Type II compliant. Access to production data is restricted to authorized personnel only and is logged for audit purposes. We conduct regular security reviews and penetration testing.
6. Your Rights
You may request to access, correct, or delete your personal data at any time by emailing privacy@propertyportal24.com. We will respond within 30 days. You may also cancel your account and request full data deletion from your account settings.
7. Cookies
We use essential cookies to maintain your login session and product preferences. We use analytics cookies (anonymized) to understand how the product is used. You may opt out of analytics cookies from your account settings.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify all users via email at least 14 days before material changes take effect. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
